Invite Your Team to a Shared WhatsApp Inbox

Invite teammates by email with Owner, Admin, or Member roles. Each person logs in and replies under their own name.

Each teammate gets their own login and replies under their own name. Owners and admins invite by email, pick a role, and buy seats on Billing before the invite goes out.

Short answer: Owners and admins open Team in settings (the route stays under members; the nav label is Team). Invite by email and choose Owner, Admin, or Member. Members reply in the inbox; you choose what they can see with labels after they join. Buy seats on Billing before you invite.

Roles in plain words

Owner

Full control of the workspace. An Owner may invite an Admin or a Member.

Admin

Replies in the inbox, invites Members, edits templates, and sends broadcasts. Sees everything except billing.

Member

Replies in the inbox. You choose what they can see.

Invite in four steps

  1. Buy a seat on Billing if you need capacity. Seats are purchased before the invite, not when someone accepts.
  2. Invite by email + role. Owners may invite Admin or Member. Admins may invite Member only. Pending invites show in the list; you can resend or cancel. Cancel means the link stops working and nothing is charged.
  3. They accept within 48 hours. Invites expire after the default 48-hour window. Resend if the link timed out.
  4. After they join, Edit access for Members. Set label scope so each Member only sees the chats that match their labels. Owners and admins always see everything.

What Members can see

Label scope is how Member access works. After someone joins as a Member, edit their access and choose which labels they can see. Owners and admins always see everything. Access is not narrowed at invite time; pending invites read as full visibility until you edit access after join. Member access is controlled by labels, not by fencing the inbox to a single WhatsApp number.

FAQ

Who can invite whom? Owners may invite Admin or Member. Admins may invite Member only. Plain members see a lock card that says owners and admins only.

How long does an invite stay open? Pending invitations expire after 48 hours by default. Resend to send a fresh link, or cancel so the old link stops working and nothing is charged.

Do I pay when they accept? No. Buy seats on Billing before you invite. Capacity is checked at invite time. You do not pay when someone accepts.

Can I narrow what a Member sees before they join? Not at invite time. After they join, Edit access and set label scope. Pending invites are treated as everything until that edit.

How does Member access work? Label scope is what saves for Members. Number filters in the console UI do not fence which chats a Member can see; labels do.
