7 automations to set up first

The Zap structure is always the same - Pipedrive trigger → WhatsApp message. What changes is what fires when. These are the highest-leverage flows to set up first.

1. New lead → instant WhatsApp

A lead lands in Pipedrive from your website or a form. Inside thirty seconds, they get a WhatsApp: “Hey, got your enquiry about [product]. I’m Sara - can I book you in for a 15-minute call this week?”

Speed to lead is the single biggest predictor of who wins the deal. This automation pays for itself the first week.

2. Deal stage → “Quote Sent”

Half the deals you’d lose to silence come back from a single message.

6. Lost reason captured → win-back later

When a deal is marked Lost with a reason like “Bad timing” or “Budget,” queue up a follow-up Zap that fires 60 or 90 days later: “Hey - checking in. You mentioned timing wasn’t right back in March. Has that changed?”

The leads you “lost” become the leads you re-open without any work.

7. Deal won → review and referral request

A week after a deal is won, send a WhatsApp asking for a review and a referral. People tap links in WhatsApp. They don’t in email. Referrals are the cheapest leads in sales, and most teams never ask for them properly.

The boring answer is the right answer: your reps stop copy-pasting.
