The 7 Pipedrive Zaps that turn every stage change, activity, and deal update into a WhatsApp the customer actually reads.
7 Pipedrive + WhatsApp Zaps Every Sales Team Should Ship This Week
Most teams don’t have a Pipedrive problem. They have a talking to the customer problem.
The pipeline is full. The stages are clean. Every deal is where it should be. But the moment something changes - a quote goes out, a deal stalls, a reply doesn’t come - the action of telling the human about it falls back to a rep, copy-pasting into WhatsApp at random hours, when they remember.
The fix is Zaps. Specifically these seven.
Each one below is ship-ready: trigger, filter, action, and a message template you can paste in. They run on the official WhatsApp Cloud API through WhatsAble (we’re a Meta Tech Provider), so the throughput is real and the ban risk is zero. WhatsApp messages see around 98% open rates (industry data) the same nudge that gets ignored in an inbox gets a reply on WhatsApp.
Build all seven before stand-up tomorrow.
The setup (one time)
Before the recipes, make sure you have these three things wired:
- Pipedrive connected in Zapier. Standard OAuth, takes 30 seconds.
- Your WhatsApp number connected in the Notifyer console. One-time setup; Notifyer handles the Meta Business Manager and template approvals.
- Phone-number discipline. Use Pipedrive’s Phone column type on the Person object, and standardise country codes (always
+44, never0044or07…). Your future self will thank you when the Zaps don’t fire on half your contacts.
Now, the seven.
1. New deal → instant WhatsApp (speed to lead)
The single highest-leverage Zap you’ll ever build.
- Trigger: Pipedrive - New Deal
- Filter: Person’s phone field is not empty
- Action: Notifyer - Send WhatsApp Message
- Template:
Hey {{First Name}} - thanks for your enquiry about {{Deal Title}}. I’m {{Owner Name}} from {{Org}}. Want me to book you in for a quick 15-minute call this week?
The first agent to reply usually wins the deal. With this Zap, that agent is always you - automatically, within thirty seconds, regardless of what time the lead came in.
2. Deal stage → “Quote Sent” → follow-up nudge
Quotes die in inboxes. Not on WhatsApp.
- Trigger: Pipedrive - Updated Deal
- Filter:
Stage=Quote Sent(or your equivalent) - Action: Notifyer - Send WhatsApp Message
- Template:
Just emailed you the proposal for {{Deal Title}} - happy to walk through it together if you have questions. Any blockers I should know about?
The lead now knows the email exists. The conversation moves to a channel they actually reply on.
3. Activity due tomorrow → reminder for the rep
Your reps live in Pipedrive but check WhatsApp. Bridge it.
- Trigger: Zapier Schedule by Zapier - daily, 5pm
- Steps: Pipedrive - Find Activities (where
due_date= tomorrow, status = open) - Action: Notifyer - Send WhatsApp Message to the rep’s number, looped per activity
- Template:
Tomorrow at {{Time}}: {{Activity Subject}} with {{Person Name}} ({{Org}}). Deal value: {{Deal Value}}. Notes: {{Deal Notes - last line}}.
This one’s for the team, not the lead. It’s the Zap reps actually thank you for.
4. No activity in 3 days → soft re-engagement
A deal that’s sat in the same stage for a week is dying. Don’t let it.
- Trigger: Schedule by Zapier - daily, 9am
- Steps: Pipedrive - Find Deals where
last_activity_dateis 3+ days ago ANDstageis notWonorLost - Action: Notifyer - Send WhatsApp Message
- Template:
Hey {{First Name}} - wanted to check in on {{Deal Title}}. Still useful for me to walk you through anything, or has timing shifted?
Soft, low-pressure, on the channel they actually reply on. Half the deals you’d lose to silence come back from this one message.
5. Deal won → instant thank-you + onboarding
The warmest moment in the entire customer relationship. Use it.
- Trigger: Pipedrive - Updated Deal
- Filter:
Status=won - Action: Notifyer - Send WhatsApp Message
- Template:
Welcome aboard, {{First Name}}! 🎉 Next steps for {{Deal Title}}: 1) Payment link → {{URL}}, 2) Kickoff call → book a slot at {{Booking URL}}, 3) Any questions, just reply right here.
The customer feels handed off cleanly instead of dropped into onboarding silence.
6. Deal lost (“Timing”) → 60-day reactivation
The leads you “lost” are the leads you re-open without doing any work.
- Trigger: Pipedrive - Updated Deal
- Filter:
Status=lostANDLost Reasoncontainstiming - Delay: Zapier Delay For → 60 days
- Action: Notifyer - Send WhatsApp Message
- Template:
Hey {{First Name}} - circling back. When we spoke in {{Lost Month}}, the timing on {{Deal Title}} wasn’t right. Has anything changed on your side? Happy to pick it up if so.
This single Zap, set up once, quietly rebuilds your pipeline from “lost” deals 60 days at a time.
7. Deal won → review request (7 days later)
The best moment to ask for a review is right after a happy close - and it’s the moment most teams forget.
- Trigger: Pipedrive - Updated Deal
- Filter:
Status=won - Delay: Zapier Delay For → 7 days
- Action: Notifyer - Send WhatsApp Message
- Template:
Hey {{First Name}} - hope week one with {{Deal Title}} is going well. If you’ve got 60 seconds, a quick review here would mean a lot: {{Review URL}}. And if anything’s not working, reply and I’ll fix it 👋
People tap links in WhatsApp. They rarely do in email. Referrals are the cheapest leads in sales; this Zap is how you actually ask for them.
Gotchas every team trips on
A few hours of pain saved if you set these up right the first time:
- The 24-hour window. Outside of an active reply window, WhatsApp requires pre-approved template messages. The Notifyer side handles approvals; just submit your templates early so they’re live when you want to ship the Zap.
- Deduplication. Pipedrive’s Updated Deal trigger fires on every update, not just stage changes. Use a Filter step (
Stage Changed Tois the safest) or a Storage by Zapier check to avoid duplicate sends. - Phone number format. Standardise on
+CountryCodeat the contact level. The Zaps will silently skip contacts with malformed numbers, which is fine — but you’ll wonder why your fire rate is 70% instead of 100%. - Time-zone the Schedule Zaps. Deal #3 and #4 are daily-run Zaps. Set the schedule to your reps’ time zone, not Zapier’s default UTC, or your “tomorrow’s activity” reminder lands at 3am for some of them.
- Test on yourself first. Every Zap. Send to your own WhatsApp before pointing it at a customer. The first time you accidentally fire a
Welcome aboard 🎉to a deal that wasn’t actually won is the last time.
The point
Pipedrive already knows everything. The thing it’s missing is a voice on the channel your customers actually read. These seven Zaps give it one.
You can build all of them in an afternoon. You can have the first one - instant lead response - live before lunch.
Connect your Pipedrive in Zapier. Connect your number in Notifyer. Ship the seven.
