Most teams don’t have a Pipedrive problem. They have a talking to the customer problem.

The pipeline is full. The stages are clean. Every deal is where it should be. But the moment something changes - a quote goes out, a deal stalls, a reply doesn’t come - the action of telling the human about it falls back to a rep, copy-pasting into WhatsApp at random hours, when they remember.

The fix is Zaps. Specifically these seven.

Each one below is ship-ready: trigger, filter, action, and a message template you can paste in. The setup (one time)

Before the recipes, make sure you have these three things wired:

  1. Pipedrive connected in Zapier. Standard OAuth, takes 30 seconds.
  2. Your WhatsApp number connected in the Notifyer console. One-time setup; Notifyer handles the Meta Business Manager and template approvals.
  3. Phone-number discipline. Use Pipedrive’s Phone column type on the Person object, and standardise country codes (always +44, never 0044 or 07…). Your future self will thank you when the Zaps don’t fire on half your contacts.

1. New deal → instant WhatsApp (speed to lead)

The single highest-leverage Zap you’ll ever build.

  • Trigger: Pipedrive - New Deal
  • Filter: Person’s phone field is not empty
  • Action: Notifyer - Send WhatsApp Message

The first agent to reply usually wins the deal. With this Zap, that agent is always you - automatically, within thirty seconds, regardless of what time the lead came in.

2. Deal stage → “Quote Sent” → follow-up nudge

Quotes die in inboxes. Not on WhatsApp.

  • Filter: Stage = Quote Sent (or your equivalent)

  • Steps: Pipedrive - Find Activities (where due_date = tomorrow, status = open)

This one’s for the team, not the lead. It’s the Zap reps actually thank you for.

4. No activity in 3 days → soft re-engagement

A deal that’s sat in the same stage for a week is dying. Don’t let it.

  • Trigger: Schedule by Zapier - daily, 9am
  • Steps: Pipedrive - Find Deals where last_activity_date is 3+ days ago AND stage is not Won or Lost
  • Action: Notifyer - Send WhatsApp Message
  • Template:
  • Hey {{First Name}} - wanted to check in on {{Deal Title}}. Still useful for me to walk you through anything, or has timing shifted?

Soft, low-pressure, on the channel they actually reply on. Half the deals you’d lose to silence come back from this one message.

5. Deal won → instant thank-you + onboarding

The warmest moment in the entire customer relationship. Use it.

  • Trigger: Pipedrive - Updated Deal
  • Filter: Status = won
  • Action: Notifyer - Send WhatsApp Message

The customer feels handed off cleanly instead of dropped into onboarding silence.

6. Deal lost (“Timing”) → 60-day reactivation

The leads you “lost” are the leads you re-open without doing any work.

  • Trigger: Pipedrive - Updated Deal
  • Filter: Status = lost AND Lost Reason contains timing
  • Delay: Zapier Delay For → 60 days
  • Action: Notifyer - Send WhatsApp Message
  • Template:

The best moment to ask for a review is right after a happy close - and it’s the moment most teams forget.

People tap links in WhatsApp. They rarely do in email. Referrals are the cheapest leads in sales; this Zap is how you actually ask for them.

Gotchas every team trips on

A few hours of pain saved if you set these up right the first time:

  • The 24-hour window. Outside of an active reply window, WhatsApp requires pre-approved template messages. The Notifyer side handles approvals; just submit your templates early so they’re live when you want to ship the Zap.
  • Deduplication. Pipedrive’s Updated Deal trigger fires on every update, not just stage changes. Use a Filter step (Stage Changed To is the safest) or a Storage by Zapier check to avoid duplicate sends.
  • Phone number format. Standardise on +CountryCode at the contact level. The Zaps will silently skip contacts with malformed numbers, which is fine — but you’ll wonder why your fire rate is 70% instead of 100%.
  • Time-zone the Schedule Zaps. Deal #3 and #4 are daily-run Zaps. Set the schedule to your reps’ time zone, not Zapier’s default UTC, or your “tomorrow’s activity” reminder lands at 3am for some of them.
  • Test on yourself first. Every Zap. Send to your own WhatsApp before pointing it at a customer. The first time you accidentally fire a Welcome aboard 🎉 to a deal that wasn’t actually won is the last time.
